* Seneschal Ennae apologized for being more “hand-off” in the past and it will not happen again. He had been hoping that problems would burn their selves out and that he would not have to use his authority over the group to solve the problems that have arisen this past month, but since this has not happened he will be more “hand-on” in the future.
* Ennae apologized for not having an Officer’s Meeting before and promised at least one Office’s Meeting per quarter in the future.
* Lord Penda resigned from Minister of Arts and Sciences 2 weeks ago. Ennae suggested the following people for the office and he will talk with them in the near future: Hrothgar or Elizbetta – both have had experience in the SCA Arts and Sciences field.
* Ennae’s term of office will be up in June 2009 and he expects that his deputy Theo will be taking over as Seneschal then.
--Officers Meeting Agenda--
1. Meeting Solution-location and times. Cover situation with public library and what happened to cause current situation.
* The new person in charge of scheduling meetings at all of the Duval Public Libraries has decided that groups must fill out a 2-page form and have an interview before they are allowed to hold meetings at any Duval Library, but no one informed Ennae of this new requirement until June. In spite of this, Ennae was able to get us use of the Willow Branch Library Meeting Room on the following dates: July 3rd, August 7th and September 4th – our Normal Business Meeting Dates. It was pointed out that Lee High School will be open again by September 4th, and we will not need that date.
* The Officers discussed the various options that have been presented on the Shire Mailing list for a place to hold meetings during the summer. Several Officers had taken the time to drive by Ed White School and timed the distances from our normal meeting place of Lee High School to Ed White School, it was timed by Maeva at only 7 Minutes farther from Lee if one was coming from the direction of Downtown, Arlington or Beaches Area. After much discussion it was decided that we would only use Ed White School one or two times in the summer and it was not worth the trouble to get on their already overfull Thursday Night Class Schedule.
* After more discussion by the Officers the follow “Castlemere Summer Schedule” was created. It was recognized by all of the Officers that not everyone will be happy with this solution but the Officers are doing the best that they are able after having having several problems thrown at them from out of the blue.

- Do you want more hand-on classes for making garb or items for camping?
- Discussions on a medieval or SCA related topic?
- Do you only want to sit and socialize after announcements?

3. Shire calendar-upcoming events and how they are going.
* Kenet: co-autocrat for Scriptorium and Michaelmas.
Informed us of her meeting with the people from Barony of An Crosaire and the details that have been worked out so far for the joint event. The Barony will pay all the expensive of the event including feast and the Shire of Castlemere will receive half of the profits from the event. Castlemere will be responsible for “Scriptorium Classes”. The event is not on the process of the King and Queen. Tamara will create the web page for the event. Kenet will be the co-autocrat and classcrat. Volunteers are needed to teach classes of a Scribal or Heraldic nature. There will be a “Scroll Creation Contest” at the event. The Castlemere Scribes are creating a painted tapestry to be raffled off at the event for the “Castlemere12th Night Dinner Fund.”
* There was no one present to comment on Cutlasses and Corsairs 2009. We only know it will be held on February 20, 21, 22, 2009
* It was discussed that perhaps we can move Scriptorium 2009 to a summer month like June-July since it all takes place indoors and a new Castlemere event could be created for the fall 2009.
* It was also discussed that "Cutlasses and Corsaires: pirate theme event" has been done for a great many years and we really have nothing new to bring to this theme; and a new themed event could be created for the same time of year in 2010.
4. Shire Officer Job descriptions and expectations.-What do you do in your office? What is expected of your office? What do you expect of other offices?
* Each Officer Present took a turns discussing these questions in detail. The general decision was that Castlemere Officers and Members have a lack of communication and this needs to be worked on so we can all function better in our job.
* Ennae asked that if any Officer is having trouble communicating with another Office about Shire business that he be informed.
*Ennae stated that Officers that are not doing their jobs and that do not communicate with him will be asked to step down from their office.
* Ennae stated that not all Officers are turning in Quarterly Reports to him. He needs these reports to do his Official Castlemere Report to the Kingdom Seneschal. So whenever you turn in reports to your Kingdom Officer you should turn in a copy to Ennae also. The next Quartlery Report date for Ennae is August 30, please send him your report before that date.
* Ennae’s cell phone is 200-2479.
5. Shire volunteerism and what we can do about it. Low rate of volunteers across the SCA.
* Volunteerism is down all over the SCA across the whole country. Several reasons was discussed but we run out of time to finish this topic.
6. Miscellaneous Topics not covered by Seneschal that any officer feels needs to be addressed.
* Kenet asked to discuss the topic of a new shire in the southern part of the Castlemere area.
She stated that about 10 people have come to her from the Middleburg area expressing the idea of the creation of a new shire in that area, since they now have to travel a long distance to attend Castlemere meetings and with the cost of gasoline continuing to raise this has become a real problem for many of them. The idea of a new shire was discussed by the Officers that were present and it was felt by all the Officers that this is a viable idea. We would support those members that wished to create a new shire and we could support any future events that shire might put on.

* He explained why we can only have one meeting a month at the Library is because of a new library director. Ennae has to fill out a 2 page form and have an interview to get the room for us.
* Don Gunther has resigned as Rapier Marshal, and we need a new officer.
* Lord Penda has resigned as Minister of Arts and Sciences. HL HRothgar has volunteered to take over the office of Minister of Arts and Sciences. Lady Glenna has volunteered to become HRothgar’s deputy.

* She is waiting on submissions by people that said they were ready. It is a long process to get a name or device passed. It would be nice to have passed arms on the Populace Banner. Let her know ahead of time it you want to work on it at workshop.
* Her main deputy has move out of town so she is looking for a replacement to train to take over the office. She has one year left in her office.

* Maeva has had several inquires from new people about the shire. Greenwhich(sp?) School sent us a check for $10 for the demo we did there and a nice Thank You card.
* Tamara asks is there any chance of getting the card for the shire scrapbook.

* There are no upcoming demos on the books. PLEASE let Maeva know in advance if you want to do a demo. She has to report the number of people coming to the demo, because sometime there is only room for 2-3 people and it is not good to have 10 people show up. (ed: We must work on our communication.)

* In the past few months the shire has had $140 in bad checks. She has managed to collect $101 of that.
* The shire has about $7800 in the bank.
* The quarterly Kingdom report will go out in about a week or so.

* However, several people have requested that Youth activities take place during the year besides shire events.
Historian ~ HL Tamara of Castlemere
* The shire scrapbooks are getting full so she bought a twin pack of new binders and turned in the receipt.
* Margaret and Cara have donated photos for the scrapbook in recent weeks.
Web Minister ~ HL Tamara of Castlemere
* In the past month about 6-7 new shire member profiles have been posted bringing the total to about 17.
* A new web page design to show off both individual and group finished projects has been posted on the called “Fruits of Our Creativity. These don’t have to “arts-sci faire” level projects just something that members have completed and are proud to show off. Tamara hopes that everyone will participate so matter how small the project.
* She is slowly updating the design of the web site as well as correcting information and updating links.
Librarian ~ HL Iain Qwhewyl
* He has looked into the online library database “Library Thing” that was requested by the Kingdom Librarian that all Trimaris groups use. It is free if you have less then 200 books/items. It is $10 a year or $25 for a lifetime if you have 200 or more books/items. At present Castlemere has about 200 books and 300 newsletters/digest books. He is still weeding out books that are not in our time period and most novels as requested by the Kingdom Library, to either be sold at a future Castlemere event for a $1 or maybe taken into local bookstore for store credit. He would really like to get some specialty books on SCA time period-related subjects.
* Kenet has donated a good size bookshelf to the shire for keeping the books on.
* He will pull out any books for display that are related to the subjects being taught at the workshop on Saturday if we have any.
* He is going to create a list of books to “Spotlight” each month and send them to the Chronicler for the newsletter.
* Be sure to check out the Shire Library at the workshop this weekend and see Iain to check them out.

* Constable has the Castlemere “lost and found” please see Dmitrii Ivanov.
Chronicler ~ not present, sent report to Seneschal
* The last newsletter she printed cost $35 for 30 copies. The money a lot for the annual newsletter is not going to cover the current cost. She sent a list of suggests that Ennae read out. The shire voted to raise her budget by $100 a year to a total of $400.
* Several people requested that it be posted online as well. This is discuss by the group and the web minister said she had no problem with it as it has been done in the past.
This would give members several different options to get the shire newsletter:
- they could get it free at a meeting
- they could get it online
- they could send stamps to the chronicler and have a hardcopy mailed to them.
* During the summer this year Milica will only create one-three month issue of the newsletter.
* All officers are encourage to send her a report for the newsletter.
* She is currently looking for articles, art, etc from all shire members.
* William and Maria have volunteered to donated a printer to the chronlier that was good enough to be used at tax-prepares.

- Ennae suggested that if you don’t have wood craving chisel for his class go to “Harbor Frigate” and buy a cheap starter set just in case you find you don’t care for the hobby. If you find you love the hobby you can get a better more expensive set later.

Tamara presented the idea of creating shade walls to use in the shire
encampment. She showed some of the decorative painting ideas suggested by
Maeva and picked out by Kenet. Ennea wants a written list of supply cost
before OKing money for project by the next meeting on the 21st of August.
Dave offered to donate many yards of muslin fabric for the project.

* Everyone had a good time at the Michaelmas - Scriptorium event. The shire was gifted with a “Thank You” scroll from the Barony for sharing our event date with them. We will scan it and put it on the shire web site. There were about 150 people at the event.

* November 1 is the Trimaris Duke University:

* The shire will be having a “12th Night” dinner on January 18, 2009; cost is ‘$2 per person and a potluck dish’. Everyone is asked to wear their best garb. The Castlemere Cookies have tried several medieval recipes this past year and you can find their suggestions on the “12th Night” web site, however, you can also bring any dish that you want.

* HL Hrothgar has stepped down as the Shire Minister of the Arts and Sciences due to his work schedule. Lady Glenna of Streuhaus is being trained for the office.
* Shire members in the Middleburg area are looking into starting a shire in that area. Ennae offered them all the support of Castlemere.
* Maeva has the bid for Scriptorium.
* Cutlasses and Crosaire staff: Alessandra da Canal - autocrat, Cyndel of Castlemere - hall steward, Kat - event web minister.
* Trimaris Duke University is lots of fun.

* The Arts & Science Competition Between the Fighting Households of "Companions of Saint Augustine” and "Clan Dunncan" will this Sunday at 2pm at the Duck Pond.
* She needs people to teach classes.

* The Michaelmas-Scriptorium event earned us a profit of $186, with and addition $20 from the book sale.
* Ex-seneschal Rannald McIntyre is who living out in Texas now has donated to the shire, the cost of hosting the shire web site for 2 years with his company saving us about $190.

* No one has checked out any books in the past month.
* Then Master Iefan asked about the “Letters of Dance” newsletters, so Iain left the meetings went home and got the newsletters and bought them back for Cara.

* I’ve updated the front page with the current information on school closing for the holiday: No meeting on Thursday November 27, 2008 due to Thanksgiving. The holiday school closing and therefor no shire meeting dates: December 25, 2008 & January 1, 2009. Next meeting in the new year will be on January 8, 2009.
* Updated Calendar with current information on events up to January.
* Bought up the subject of taking a Group Photo again. She suggested that we take one at 12th Night in January since most people will be there in garb with no meetings or classes or fighting to attend. Two will have to be taken, one with everyone for the scrapbook and one without the children for the web site. Kenet then announced that Lord Ian fitz Patric has offered to bring his camera and take a group photo and individual photos during 12th Night.

* Bought in some posters and flyers for Hoggetowne Fair.
* Said that several people from the Fighter Households Arts and Science Competition want to submit their projects to the Kingdom Arts and Sciences Fair next year. He also will be at Fighter Practice most weekends with information about the Fair and to help with documentation. Stop and see him.
* Please contact him to teach classes for the new year.

* Visited with us this evening and donated 4 “History Channel” VHS tapes to the shire library.
Web Minister ~ HL Tamara
* Announced that Kat would be her new deputy web minister. Kat is also working on the event web page for Cutlasses and Corsairs.

* There needs to be an increase in the feast budget for Cutlasses from $800 to $1000 and an increase in the feast fee from $8 to $10 per person. The autocrat of the event said there are no prepaid feasts at this time, but a event notice was placed in the Talewinds for $8. So she wanted to send a correction to the Talewinds for January & February. After some discussion it was voted by the shire and the increase in the budget and the feast fee was approved.
* The last meeting of the shire for 2008 will be December 18. The next meeting in 2009 will be January 8, 2009.
Cutlasses Autocrat ~ Lady Alessandra
* Both set of royals: the King, Queen, Prince and Princess, will be attending Cutlass this year.
Write those letters of recommendation now. You can use the form on the Kingdom web site.

Lady Glenna is trying to arrange a weekend class with Master Rurik on event crating.
Lady Cynthia Catherine Cartier & family found some old SCA newsletters while looking for Christmas decorations and bought them into the meeting. One was the Meridies newsletter where the Principality of Trimaris was declaring the intention to become a Kingdom. A copy will be sent to the Kingdom Historian.
Alessandra taught a token making class of figure loop braiding and the shire really got into it and had a good time.
There were about 27 people at the meeting.
Next week there will be a shire populace discussion on the possibly of crating a kingdom event.

* There is changes coming to Trimaris Kingdom Law, please visit the kingdom web site and read the purposed changed and let the king and queen know how you feel about them. Commentary will be accepted until September 25, 2008.
* Mistress Maeva has made a bid for Scriptorium 2009 event, to be called "Golden Age of Persia” and purposes a July date for the event.

* SCA names for Liadan and Grace Carter have also passed.
* Device submission for Liadan needs to be redrawn.
* Submissions for Martine Beauvarlet have gone from Lymphad (Kingdom) to Laurel (corporate level).

* Attended Chronicler’s meeting at Coronation,
1) The biggest thing they talked for web sites was copyright law and permissions for articles and photos. The Social is every seriously about copyright law. There has been some trouble in the past and they don’t want to go thorough that again. So if I come back to you and ask you to sign a permission form for something you have already given me permission to post on the web site, please bare with me.
2) The Kingdom would prefer that children not be shown in photos or have any personal information on the SCA web site even if the parent(s) is willing to sign for it. So there are a few photos I will have to pull or blur out on the web site.
3) They are asking that all non-official SCA web sites have the disclaimer on it that states “it is a NOT an official SCA web site”. The example used was the Trimaris College of Scribes web site. Ask Tamara for the wording for your site. This goes for event web sites not hosted on the official group web site.
* Updated the shire profile page, calendar, front page, etc
Historian ~ HL Tamara of Castlemere
* The new Trimarian Kingdom Historian is Mistress Aspasia Jeanne Cartier. She came over and talked to me before the meeting and wanted to use the Castlemere History web site as a blue print as what she wants to do new Kingdom History web site, and I told her she was welcome to do so.
* She asked for permission to pull any actual information about Castlemere from our History site that she feels she can use on the Kingdom History site and I will be mailing her a permission form to do that since it is on my personal web site.
* In the future she want reports on all Shire events and “special” activities like our Bragging Rights Tourney.
Librarian ~ HL Iain Qwhewyl
* Attended the Chronicler’s meeting and sat with the Kingdom Librarian afterwards. She said we don’t need all the books we have in our library. We only need a “specialized library”. Most people now have access to good local public libraries, interlibrary loans and the Internet so there is no need to take up space in someone’s home with books that no one reads anymore. It fit a purpose long ago but not today. So Iain has given her a list of books we have and she is going to let him know which to keep and which to pass on.
* She also said that we don’t need all the newsletters that people have given the shire over the years. We should only keep Tournaments Illuminated & Compleat Anachronist in the Library. Castlelores should go the historian. Other newsletters should be looked at to decided if a specialized group could use them. ie: dance newsletters go to dance guild, cooking newsletters go to cooking guild. Iain will be creating an index to articles in Tournaments Illuminated & Compleat Anachronist.
* Iain wants to host a shire library book sale at the next shire event and maybe a kingdom event. He will provide the shire a list of books before before the sale.
Minister of Arts & Science ~ report by deputy Lady Glenna of Streuhaus
* She attended the AS meeting at Coronation and they were impressed with the AS challenge between 2 fighting households in our shire.
* They are looking for teachers to teach at the Thursday night meetings, there are only 2 classes a month now.
Knight Marshal ~ Lord Ulrich Sturmaere
* Fighter practice will be moved on September 7 due to craft fair in the park.
Trimaris Duke University ~ Duke Gunnar
Classes for Trimaris Duke University will start 9:00 am 11/01/08.
Tuition is free but there is a $5.00 charge if you want to be part of the
meal plan. This is a great opportunity to learn from the very best in the
kingdom. Show up or get schooled by those who do.
Panhandle Skirmishes ~ HL Thorunn (sorry I don’t have the spelling of your new name)
* She and Simon will be celebrating their 10th year in the SCA with a beer and cordial tasting at the event. See her for more details.

* Sorted all the photos on my harddrive by year and am starting to make
pages for Castlemere photos
* Took some hard copy photos to the social at Kenet’s to have Maria resort

* Maeva has 2 of the shire scrapbooks.
* The Master William Blackfox Awards to recognize excellence in the work of
Chroniclers and newsletter contributors this year included 2 recognitions
for Castlemere:

article. Awarded to the writer and the newsletter.

* Working to repair loaner gear.
We had several newcomers at the meeting.
-- Encampment shade wall project.
Tamara presented the idea of creating shade walls to use in the shire
encampment. She showed some of the decorative painting ideas suggested by
Maeva and picked out by Kenet. Ennea wants a written list of supply cost
before OKing money for project by the next meeting on the 21st of August.
Dave offered to donate many yards of muslin fabric for the project.
There were about 20 people at the meeting.

Since we have lost access to the public library for Castlemere's summer meetings (except for once a month), the next Castlemere "Populace Meeting" will be at my house on July 17, 7:30pm - 9pm.
The topic to discuss will be ”What do you the members of Castlemere wish to do during our Thursday Night meetings starting in late August at Lee High School?”
If it is a nice evening we will be outside around the pool, it it rains we will move inside. Bring a chair.
Come to the front or back doors. Paul will have his banner and shield out in front of the house.
You can also look through the shire library. (Hey 4 books were checked out this past weekend, hurray)

* He explained why we can only have one meeting a month at the Library is
because of a new library director. Ennae has to fill out a 2 page form and
have an interview to get the room for us.
* Don Gunther has resigned as Rapier Marshal, and we need a new officer.
* Lord Penda has resigned as Minister of Arts and Sciences. HL HRothgar has
volunteered to take over the office of Minister of Arts and Sciences. Lady
Glenna has volunteered to become HRothgar’s deputy.
* The new current Castlemere meeting schedule is:
- July 3, Thursday, Business Meeting at Willow Branch Library, 7:30 - 9pm
- July 12, Saturday, All Day Workshop & Potluck Dinner at the home of HL
Iain Qwhewyl, after 9am, Classes start at 10am.
- July 17, Thursday, Populace Meeting, at the home of HL Iain Qwhewyl,
7:30pm-9pm. Bring a Chair with you.
It has been noticed by the Officers that our normal traditional classes on
Thursday Nights only draw about 5-10 people of the 30 people that normally
come to meetings, so to that end -- The Topic of Discussion will be --
”What do you the members of Castlemere wish to do during our Thursday Night
meetings starting in the late summer at Lee High School?”
Now is your time to speak up and make your ideas knows to the Officers.
Basically we want to know what will it take to keep you at the meetings the
full 90 minutes.

Baroness Kenet’s Home.

* There are no upcoming demos on the books. PLEASE let Maeva know in advance
if you want to do a demo. She has to report the number of people coming to
the demo, because sometime there is only room for 2-3 people and it is not
good to have 10 people show up. (ed: We must work on our communication.)

* In the past few months the shire has had $140 in bad checks. She has
managed to collect $101 of that.
* The shire has about $7800 in the bank.
* The quarterly Kingdom report will go out in about a week or so.

* However, several people have requested that Youth activities take place
during the year besides shire events.

* The shire scrapbooks are getting full so she bought a twin pack of new
binders and turned in the receipt.
* Margaret and Cara have donated photos for the scrapbook in recent weeks.
Web Minister ~ HL Tamara of Castlemere
* In the past month about 6-7 new shire member profiles have been posted
bringing the total to about 17.
* A new web page design to show off both individual and group finished
projects has been posted on the called “Fruits of Our Creativity. These
don’t have to “arts-sci faire” level projects just something that members
have completed and are proud to show off. Tamara hopes that everyone will
participate so matter how small the project.
* She is slowly updating the design of the web site as well as correcting
information and updating links.
Librarian ~ HL Iain Qwhewyl
* He has looked into the online library database “Library Thing” that was
requested by the Kingdom Librarian that all Trimaris groups use. It is free
if you have less then 200 books/items. It is $10 a year or $25 for a
lifetime if you have 200 or more books/items. At present Castlemere has
about 200 books and 300 newsletters/digest books. He is still weeding out
books that are not in our time period and most novels as requested by the
Kingdom Library, to either be sold at a future Castlemere event for a $1 or
maybe taken into local bookstore for store credit. He would really like to
get some specialty books on SCA time period-related subjects.
* Kenet has donated a good size bookshelf to the shire for keeping the books
on.
* He will pull out any books for display that are related to the subjects
being taught at the workshop on Saturday if we have any.
* He is going to create a list of books to “Spotlight” each month and send
them to the Chronicler for the newsletter.
* Be sure to check out the Shire Library at the workshop this weekend and
see Iain to check them out.

* Constable has the Castlemere “lost and found” please see Dmitrii Ivanov.
Chronicler ~ not present, sent report to Seneschal
* The last newsletter she printed cost $35 for 30 copies. The money a lot
for the annual newsletter is not going to cover the current cost. She sent a
list of suggests that Ennae read out. The shire voted to raise her budget by
$100 a year to a total of $400.
* Several people requested that it be posted online as well. This is discuss
by the group and the web minister said she had no problem with it as it has
been done in the past.
This would give members several different options to get the shire
newsletter:
- they could get it free at a meeting
- they could get it online
- they could send stamps to the chronicler and have a hardcopy mailed to
them.
* During the summer this year Milica will only create one-three month issue
of the newsletter.
* All officers are encourage to send her a report for the newsletter.
* She is currently looking for articles, art, etc from all shire members.
* William and Maria have volunteered to donated a printer to the chronlier
that was good enough to be used at tax-prepares.
Shire Workshop will take place this coming Saturday July 12 at the home of
Iain and Tamara. A flyer was passed around. You can see the same information

{Paul says that anyone wanting to come a little early to swim in the daylight are welcome about 5pm}.
We will be celebrating Don Cullen's birthday at the social on Thursday.
I will have Pork Roast, Black Forest Chocolate Trifle and all the paper products.
Kenet is bringing her ice cream maker.
We are looking forward to shire members and friends of the shire from all over North Florida or anyone passing through the area.
* What to Bring: A chair, a towel, your swimsuit, a potluck dish, and what ever you like to drink. Paul will have a grill lit if you want to bring something that needs cooking like hotdogs, hamburgers, etc.
* Several pavilions will be set up around the pool for shade.
* There is a park across the street with a children's playground (you need to have an adult with your children at the park).

* Lee High School will be closed during the summer. The shire voted and
decided to hold to our normal schedule of meetings during the summer.
Starting on June 5, the Thursday Castlemere meeting place will change to the
Willow Branch Library 7:30pm – 9pm. Yes, this summer they are open until 9pm

* The CastleLore will be available at the next meeting. She is looking for
articles, book reports, event reviews, etc.
* If you would like the newsletter mailed to you, please give Milica some
stamps.
Exchequer ~ Lady Martine Beauvarlet
* She is working the quarterly report for the exchequer’s office.
* After shire events she has 90 days to collect receipts from the staff and
feastcrat.
* The Kingdom has a check return policy of adding $20 to bounced checks,
they will deposit the check twice to give you a chance but you can accrue
fees from the bank and fees from the kingdom. There is a big problem of
bounced checks in the kingdom and the kingdom is getting serious about
collecting on bad checks. In the near future a list of people owning money
to the kingdom will be given to groups hosting events and you will be turned
away from the event at Reservations until your debt to the kingdom is paid.
* Also if you go to an event and fail to pay before the closing of
Reservation you will be listed as having been there the whole weekend plus
feast cost, and you will have your name cried at the event.
* The shire has about $7400 in the bank.
Minister of Youths ~ Lady Margaret of Fishwyck
* The background checks for people working with children are on hold for now
* All children under 12 years old MUST have some kind of “tag” on them
listing their mundane name, the parent’s name and where they are camping at
the event. If your child is found at an event with no tag you will be kicked
off of the site with no refund. They are serious about this.
* She is planning to work with the kingdom in the creation of a new Minister
of Youth handbook.
Minister of Arts and Sciences ~ reported by Lady Margaret of Fishwyck
* May 8 –Class “Tatting Needlework” by Lady Cynthia Catherine Cartier
* May 15 – Populace Discussion – How to raise money for Castlemere's 12th
Night Celebration next January, so we don’t have to charge a fee *and* ask
people to bring a potluck dish. The site they would like to use cost about
$600 but it is very beautiful.
* May 22 – Class “Coin Collecting” taught by Lady Milica do Soli
* May 29 - There will be a Shire Social and potluck dinner at the home of
Tamara and Iain. They have a swimming pool and a park across the street with
playground equipment. Bring a chair, towel, swimsuit, and a dish to share.
Everyone is welcome.

Pond on May 18. Fighters must have a consort and heraldry.

Armour inspection will begin at 1:00. Fighting will consist of bearpits, a
double elimination tournament and will end with melees.
The Populace gallery will be awarding tokens to the fighter who they feel is
the most chivalrous, as well as to he who meets his demise in the best

* Several people are getting ready to turn in submissions for name and

* See her ASAP about creating heraldry for the “Braggin’ Rights Tourney”.
Lord William of Castlemere and Lady Maria of Castlemere announced that would
have their tavern at Coronation.
Dmitrii announced that the Triskele Legion will host a Novice Tourney at
Coronation.
Duke Gunnar Oxnamegin is looking to host a second “Duke University” workshop
for Trimarian fighters here in the Jacksonville Area and he is looking for a

February 20-22, 2009 at Camp Immokalee; but it is not confirmed. He will
still be taking bids for C&C 09 for a while longer.

creating a “Bubby System” for newcomers to be paired with an older member,
so the other member can help the newcomer with life in the SCA.
* Gold Key: She is looking for donations of cloth bags to use with the shire
loaner feast gear so she can put one set of feast gear in each bag for
newcomers to borrow. Please contact her for more information as to size, etc
Demo Coordinator ~ Mistress Mæva Eiriksdóttír
* Demos are now part of the Hospitaller’s office. She is looking for a
deputy to take on this office.
* She is looking to create a “Museum in a Box” to take to demos and is
hoping that shire members will create medieval items and donate them to this

* She want to tailor the demos more and create different kinds, such as
putting on a “Medieval Fashion Through the Ages”. If you need more help with
creating things such as shoes, hats, jewelry, etc for your garb please talk

* The UNF demo had 13 shire member show up. The college was very
appreciative of us coming to the “World Fest”.

* Attended the Kingdom Youth Minister meeting at Coronation. The background
checks for members working with youths are on hold for the moment per the
BOD.
* She will be creating a MoY banner for the Kingdom Youth Minister to
display at Kingdom Events.
* She is working with the Kingdom Minister of Youth in creating a new
Handbook for Trimaris MoYs.

* The “Castlemere Braggin’ Rights” Tourney will be May 18, at the Duck Pond.

* To encourage more non-fighters to come out to fighter practice on Sundays
he will be offering a quarterly prize for the best garb but he won’t be
telling which date it will be so you have to garb-up every Sunday.
There were about 33 people at the meeting.
Next week the shire will have a populace meeting to talk about what we want
to do this summer, Gunnar’s suggestions, etc

He would like to see at least 5 people enter the fair. It will take place on May 29 at the Florida Bible Camp {much closer to Castlemere then in years past}

Seneschal ~ HL Énnae Catha an Dúna
* Thanked anyone for coming out in the rain to the meeting
* If anyone needs a Waiver for dealing with children within the SCA you need to get them by March 14, you can get them from Énnae.
* Lord Ulrich Sturmaere, our “Heavy Weapons Marshal”, is now also the “Youth Combat Marshal” until he can find someone to take over the office. To volunteer please see him at Fighter Practice. 2pm at the Duck Pond.
* This Sunday, Feb. 24, the Shire of Castlemere and the Stronghold of Nan Crioch Tuatha will be combining our fighter practices to prepare for upcoming Gulf Wars. We will be starting at 1 pm (instead of our normal 2 pm start time). The more fighters the better, so pull out that helm, grab your shield, and join us in the practice of our war skills. If you need directions, or have questions, call Lord Ulrich (904) 374-9340
* The shire now has 2 – count them 2 – constables: Dmitrii and Alfonso
* We still need a Demo Coordinator, at the moment Énnae is doing the job but we need someone who can talk with the people that want demos and contact people in the shire about attending the demos.
* Demos that we have at this time are:
--- UNF - There is a demo at UNF on April 3, Thursday, from 10 am to 2:30 pm. There will be no time for the fighters or for dancing in the schedule; but fighters can bring their armor and talk about it at the booth. We need lots of arts and sciences displays. Parking is $3 but she will see about getting parking passes. See HL Cara Angiola de Boccaccio to sign up and for more information. Even if you don’t have a display come dressed in garb for “atmosphere”.
--- Library demo on July 19, a Saturday, for 4 hours; More information coming soon.
* Castlemere Quarterly Officer Reports are due to the Seneschal by March 20, so he can get his report to the kingdom in on time for April.
* HL Tamara will be taking over as the shire web minister.
* There is a Saturday Fighter Practice at Lord Penda’s house in Middleburg.

* Gulf Wars – Volunteers are still needed to man the Troll/Gate on Monday and Tuesday, especially in the morning hours. You can help Trimaris get the “War Point for Volunteering”. Anyone that volunteers for Nastycrat at the war gets to drive a golf cart around site and replace the toilet paper and can earn double points and the right to shower in the “good showers”. Volunteers at Gulf Wars can also earn hard cash for your group. When you sign up be sure to include the name of the group you want the money to go to:
such as: “Kingdom of Trimaris”, “Shire of Castlemere”, “Trimaris College of Scribes” or any other recognized group you are involved with.

To that end I have created a list of what I think is the correct information for most officers. It was passed around the meeting but only about 3-4 officers were present. So I need **all officers and all deputies** to check over on the Castlemere Officer’s Mailing list and let me know if the information I have there is correct. I need **each person – officer and deputy** to contact me privately and tell me “yes or no, if it is correct”. Without a signature from you on the main form or a private email sent to my email account I can't get this information online.
Trust me I will haunt you until I get the information from you one-way or the other. LOL
So just do it as soon as possible and save us both some trouble. :)

* Announced that Tamara got her GOA at Art-Sci.

* Mistress Aspasia Jeanne Cartier (Castlemere's first Laurel) has
issued a challenge to all members of Castlemere: to enter next
Summer's Arts & Sciences Faire. Time was that Castlemere members
entered every Art-Sci and one time took home "Patron of the Arts"
(award for a group that has the most members entered in a single Art-
Sci Faire)
three times in a row. The event will be held at the Florida Bible Camp
on May 30 to June 1. This is a much closer camp to Castlemere then the
one they have used in the past.

A vote was taken and these changes to the shire bank account were
approved by the shire.
* Martine will try to make it to 2 meetings a month. Please contact
her in advance if you need to do business with her.
Herald ~ HL Cara
* Members of the shire received several awards at Cutlasses and Art-Sci.
* She has several Hoggetowne Faire posters left over if anyone wants one.
* There is a demo at UNF on April 3, Thursday, from 10am to 2:30pm.
There will not be time for the fighters to fight in the schedule, but
they can talk about their armour at the booth. They need lots of arts
displays. Parking is $3 but she will see about getting parking passes,
please see her to sign up and for more information.
Youth Minister ~ Lady Margaret
* Talked about the youth activities at Cutlasses; there were about
15-16 kids and they had a good time.
* Courtney helped with the activities but they need parents to
participate WITH their child at the activities.
* There was one incident at Cutlasses, a mother brought her 2-year old
daughter who was still in diapers and wanted to leave her but Margaret
had to explain that they didn't have the room or the staff to care for
a child in diapers and the mother got upset and left. Margaret
contacted the Kingdom Youth Minister and she told Margaret that she
did the correct thing.
{ed: Please remember that Youth Ministers at events are NOT
babysitters. They are there to teach classes to children that are old
enough to understand them. The Youth Ministers get to set the rules
for their local activities; and it is the parents responsibly to check
them out before leaving a child and to follow the rules}
Arts and Sciences Minister ~ Lady Margaret reporting for Lord Penda

* Maeva has moved her Arts and Sciences Nights to the 1st and 3rd

Chronicler ~ Lady Milica
* Passed out her first ever CastleLore to the folks that didn't get
one last week.
* Needs articles on all subjects
* Needs art work for front cover
* Thanked Camilla for her many articles
* Created a "Want Adds section" for the newsletter.
Librarian ~ HL Iain
* No one has checked out any books
* He wants to hold another book sale of the non SCA stuff in the
library and use the money to buy more appropriate books, he will be
working with the Kingdom Librarian.
* Milica donated one plastic tote for the books, but more are needed
as the cardboard boxes are falling apart.
Historian ~ HL Tamara
* Shire has lots of stuff in the scrapbooks. She is creating a new
book for 2008. She is looking for photos from Castlemere events and
activities.
Ex-Youth Marshal ~ HL Jinx
* His kingdom warrant has run out. A new Youth Combat Marshal is
needed for the shire. He has been told that until a new Youth Marshal
can be found that the office reverses back to the Shire Heavy Weapons
Marshal Lord Ulrich.
* Jinx will continue to carry the shire loaner youth armour to the
practices on Sunday.
Lady Maria
* She was given the excess items from the Gold Key yard sale to sort
out exactlly what they were suppose to be, and they just look like a
much of fabric to her. If you can identify what king of garb it is
suppose to be (tunic, Elizabethan, Tudor, etc) please contact her.
Lady Milica
* She and Maeva have been looking at places to hold future shire
activities like 12th Night. They have found a lovely place in
Springfield but it cost about $600 a day. They are hoping the shire
will try to raise the money over the course of the coming year,
instead of them having to charge about $25 a head.
Next week's class is "Preparing for War" by HL Ennea.
There were about 28 people at the meeting.

Seneschal ~ HL Ennea
* We are in the middle of our event season here in Trimaris, you can find an
event just about every weekend somewhere in Trimaris.

* Voting for “Cornerstone of Castlemere” will take place at Cutlasses, in
the Reservation Hall. Jinx will be in charge of it. If you can’t go to the
event, you can email your vote to Kenet: ckenet@...
The only 2 people you can not vote for is Kenet and Jinx since they won last
year.
* Showed everyone the very nice belt tokens that Kenet has made for the 2
winners.
Librarian ~ HL Iain

* Fighter practice at 1pm on Sunday at the Duck Pond.
* They have had regular visitors from the Beach and Meridies.

* There are not many fighters showing up at practice on Sundays at the Duck
Pond. However some people have asked for a beginning rapier class on a day
other then Sunday, he is looking into that.
Historian ~ Lady Tamara
* Evil bought in a newspaper clipping from the January 1, 2008 Times Union
paper with 2 photos from fighter practice last Sunday. One is a photo of
Kenny Kempt and Rob Hogancamp fighting, the other is of John Paul’s son Evan
Culin (3) eating some of Libby’s birthday cake. It actually lists the main
SCA web site: www.sca.org.
Exchequer ~ Deputy Lady Camilla
* The shire has $5839.53 in the bank.
* Martine is looking to create an online form for people to fill out when
they need a reimbursement for something for the shire.
* She plans to be at the first and third meetings of the month with the
shire checkbook.
Youth Combat Marshal ~ Lord Jinx:
* Needs a deputy to take over his office ASAP, his time is almost up.
* They are having new kids out to the park all the time.
* The background checks will began in February, per the BOD.
* Some of the youth fighter loaner gear needs repair and replacement.
Kingdom Youth Marshal ~ HL Kenet
* Encourages parents to participate more in the youth combat by becomes a
Youth Marshal.
Herald ~ HL Cara
* There have been no submissions.
**Cutlasses and Corsairs**
Ennea: We will be hosting the King, Queen, Prince and Princess at Cutlasses
next weekend.
Mama Jinx: Needs clean up help for the kitchen on Saturday night.
Jinx: They need some volunteer help at Gate at C&C. Youth combat at C&C will
be on the volleyball court near the chapel.
Cara: as of Jan. 3, 2008, there were about 20 place left for feast, and only
5-feast left in the children’s feast. Cabin space is almost gone. They are
heated cabins.
Tamara: The shire scrapbooks will be at the event in the feast hall Friday
Night and Saturday up until court.
Maeva’s vigil for her elevation to Laurel will take place at the B&B Gun
Range on the far left back of the camp, since the building is so old --- no
flame of any kind will be permitted. Everyone is invited to visit with her
from 8 – midnight. Anyone wishing to bring food for the vigil should contact
Martine at: CAGendron1@...
There will be a Masque Ball after feast in the feast hall. Check the phone
book for costume shops if you need a mask.
